Your Shop Was Busy TodayβBut Can You Explain Where the Money Went?
You sold goods all day. Customers came and went. Some paid cash, some transferred, and someone said, βIβll bring the balance tomorrow.β
Now you are closing your shopβand trying to remember everything.
Your phone can help you keep those records while you trade. Business OS lets you record sales, track customer balances and update stock from the same saved sale.
Open Business OS and start recording your shopβs sales β
One Sale Can Update Three Important Records
Imagine you sell three bottles of lotion at β¦2,000 each. The total is β¦6,000, but the customer pays β¦4,000 and promises to return with the remaining β¦2,000.
Instead of writing the transaction in a sales notebook, a stock book and a separate debt register, you can enter it once in Business OS.
- Sales: The app records the β¦6,000 sale.
- Stock: It deducts the three bottles sold.
- Customer balance: It records the β¦2,000 still owed.
You can also review the saved receipt to see the goods sold, total amount, payment received and credit remaining at the time of sale.
How to Record Your First Sale
- Open the app. Visit Business OS and choose Continue on web if you want to use it in your browser.
- Prepare your product record. In Stock room, add the product and its selling price. Record goods you already own as opening stock, with their cost. Check that the quantity matches what you actually have.
- Add the customer if they will owe you. Open Customers & debts and create a recognisable customer record. This lets you attach an unpaid balance to the correct person.
- Open Record a sale. Choose the product, enter the quantity and add it to the current sale. Repeat for other products the customer is buying.
- Review the figures. Check the quantities, prices and any agreed discount. Enter only the amount actually received and choose the payment method. Select the customer if a balance will remain.
- Save and check the receipt. Confirm that the total, money received and credit at sale match what happened at the counter.
When the Customer Returns With the Balance, Do This
Suppose the lotion customer brings the remaining β¦2,000 tomorrow.
Open Customers & debts, choose Collect debt, select the customer and record the actual payment.
Do not enter another sale. The goods were already sold. This payment settles the old balance; it does not create new sales or remove more stock.
Open the customerβs statement afterwards to check that the remaining balance is correct.
Two Mistakes That Can Make Your Figures Misleading
- Recording promised money as received: If the customer has paid β¦4,000, enter β¦4,000βnot the full β¦6,000. Confirm a transfer through your own bank records before marking it received.
- Calling every sale profit: A β¦6,000 sale is not automatically β¦6,000 profit. The goods cost money, and your shop may have operating expenses. Accurate stock costs and expense records help make profit reports useful.
Start With One Correctly Recorded Sale
You do not need to master every feature today. Practise with sample data in a separate browser profile, then build a habit of recording real transactions as they happen.
Less remembering at closing time. Clearer records throughout the day.
Your business records stay in that deviceβs browser storage. Export full backups regularly and keep them somewhere safe outside the browser. Never clear site data without protecting your records first.
